Who this policy applies to
This Privacy Policy applies to the SAMS web application and related services operated by Strategic Account Management Services (SAMS). It applies to information we process on behalf of business customers and their authorized users.
In many cases, the organization using SAMS controls the business data submitted to the service. SAMS processes that information to provide the requested workflow, accounting, purchasing, and integration features.
Information we collect
We collect the following categories of information:
- Account and workspace information, such as user profile details, tenant or workspace identifiers, authentication details, and internal permissions needed to operate the application.
- Operational records created in SAMS, including worksheet, inventory, purchasing, logistics, accounting, and document data entered by customer users.
- Information related to connected third-party services and integrations, including integration metadata, synchronized records, and related operational data.
- Device, browser, and usage information that is reasonably necessary to secure, operate, and monitor the service.
How we use information
We use information to:
- provide, maintain, secure, and improve SAMS;
- authenticate users and manage tenant or workspace access;
- support connected third-party services and integrations at the customer’s direction, including maintaining integrations and processing related synchronized data;
- prevent fraud, misuse, unauthorized access, and service abuse;
- comply with legal obligations and enforce our agreements.
How we share information
We may share information in the following circumstances:
- with connected third-party platforms when a customer uses integration features;
- when required by law, legal process, or a valid governmental request;
Retention and deletion
We retain personal information and business records for as long as reasonably necessary to provide the service, maintain integrations, support legitimate business operations, comply with law, resolve disputes, enforce agreements, and maintain security and internal records.
When information is no longer reasonably needed for those purposes, we delete it or de-identify it using our standard operational processes. Disconnecting an integration disables future connected activity, but may not automatically remove historical records previously imported into or generated by SAMS.
Security
SAMS uses administrative, technical, and organizational safeguards designed to protect information from unauthorized access, use, alteration, and disclosure. These measures include access controls, protection for integration credentials, and operational logging.
How connected service data is handled
When a customer connects a third-party service, SAMS accesses and processes data from that service only as authorized by the customer and the permissions granted to the application.
SAMS stores connection metadata and protected credentials to maintain integrations. SAMS may also store imported records, synchronized data, webhook payloads, and related logs needed to operate connected features. If a customer disconnects an integration from SAMS, the related connected features may stop working until the customer reconnects.
Third-party services, including QuickBooks Online where used, have their own terms and privacy notices that govern their collection and use of information.
Changes to this policy
We may update this Privacy Policy from time to time. If we make a material change, we will post the updated version here and update the effective date above.
